Privacy statement

 

1. Introduction

This is the privacy statement (hereinafter referred to as 'Privacy Statement') of Concertgebouw Brugge vzw (hereinafter referred to as 'Concertgebouw Brugge', ‘the Concertgebouw’ or 'we'), registered office 't Zand 34, 8000 Bruges, registered with the Registry of Companies under number 0464.499.049.

2. Data administrator

Concertgebouw Brugge vzw is the administrator of your personal data.  

Concertgebouw Brugge attaches great importance to your privacy. Your personal data are processed in accordance with the General Data Protection Regulation of 27 April, 2016 on the protection of individuals [...]with regard to the processing of personal data and the free movement of such data and to the repealing of Directive 95/46/EC (hereinafter referred to as the 'Regulation') and this Privacy Statement.

We care about our audience. As a Flemish Art Institution we strive to ensure quality customer service that meets the specific needs, wishes and interests of our customers. We therefore invite you to keep the details in your customer profile up to date via our website. That way we can keep you informed about what you think is important.

The purchase of the products and/or use of the services of Concertgebouw Brugge, including the use of Concertgebouw websites, implies your acquaintance with and consent to the stipulations of this Privacy Statement.

3. Legal bases of processing

Personal data are processed on the basis of Article 6.1. of the Regulation. More specifically, we process your personal data:

a) on the basis of your consent,

b) because it is necessary for the execution of an agreement,

c) because it is necessary in order to comply with a legal obligation,

f) because it is necessary for the furtherance of our legitimate interests.

Insofar as the processing of personal data is always done on the basis of Article 6.1. a) consent, you always have the right to withdraw that given consent.

4. Purposes of processing

Personal data are processed to enable:

  • the proper functioning of the website,
  • the analysis of visits to the website,
  • the distribution of newsletters, brochures and magazines, the sending of service emails, and the conducting of customer satisfaction surveys,
  • the maintenance of relations,
  • the processing of requests and orders for goods and services – including ticketing and room rental – and the associated processing and follow-up,
    applications – the personal data of job applicants are only used for recruitment and selection purposes and not for marketing purposes.


5. What personal data do we process?

5.1 Personal data you share with us

When you order tickets and season tickets, request a room rental quote, register for newsletters, magazines or brochures, or apply for a job via www.concertgebouw.be, you will be asked to supply some personal details. After that registration, we may also request additional information to help us to provide a more personalised service. The processing of such data enables Concertgebouw Brugge to fulfil orders and to respond to requests or questions smoothly.  

When you contact us – by sending an email question, review or complaint, or by attending a Concertgebouw Brugge event, for example – we also register your contact details.

  • First and last name
  • Sex
  • Date of birth
  • Address
  • Telephone number
  • Email address
  • IP address
  • Photos and/or videos
  • Information about your activity on our websites
  • Payment history
  • Order details
  • Other personal data you have provided, by creating a profile, or by mail, email or telephone correspondence, for example.

For job applicants only the following personal data are processed, and this in a secure database:

  • name
  • date of birth
  • email and postal address
  • telephone number
  • photo 
  • details of the applicant's level of education and experience
     

5.2 Sharing with social networking sites

The social networking functions on Concertgebouw Brugge websites allow you to share information, such as articles. Concertgebouw Brugge websites may also contain social plug-ins, including those offered by Facebook, Twitter and Instagram, so that you can share information via these platforms. Because these plug-ins are operated by the social networks, the relevant social network’s privacy policy and terms and conditions of use apply. Concertgebouw Brugge has no control over the social networks’ management of these plug-ins. We encourage you to read their privacy policy and terms and conditions of use before using these plug-ins.

5.3 Cookies

This website uses cookies. A cookie is a small file of letters and numbers downloaded onto your computer when you access certain webpages. How this website uses cookies is explained on this page. 

6. How you can influence processing  

6.1 Right to access, correct and restrict or object to the processing of personal data, and to request a copy of that data (and this in a structured, current and machine-readable form) or its deletion. 

You retain the right to access your personal data and to update them (or have them updated) if they are incorrect or incomplete. On the basis of Article 6.1 (e) or (f), you may object to the processing of personal data and have its processing restricted, including any profiling based on those stipulations. 

You also have the right to receive a copy of your personal data (and this in a structured, current and machine-readable form). 

6.2 Use of atmospheric images for marketing purposes

Atmospheric images of the audience may be made during performances. The Concertgebouw may use those images for marketing purposes. You can object to this by sending an email to privacy@concertgebouw.be prior to your Concertgebouw visit, or by mentioning your objection to the reception staff during your visit.

6.3 Restrictions on the use of personal data for marketing purposes

Concertgebouw Brugge naturally wishes to keep its customers and important contacts fully informed of its activities. To achieve this we regularly send out information, both electronically and on paper.

  • Electronic newsletters: When you purchase a ticket, rent a room in the Concertgebouw, subscribe to a newsletter or are an important contact for the organisation and operation of Concertgebouw Brugge, you are automatically subscribed to our newsletters. You can adjust your preferences at the bottom of the newsletters and on your account page. At the bottom of each newsletter there is also a link. You can unsubscribe at any time and free of charge by simply clicking on it. You can also unsubscribe at any time and free of charge by contacting privacy@concertgebouw.be.
  • Paper magazine: Every three months Concertgebouw Bruges sends you a paper magazine, based on your subscription to that magazine, your concert visit (up to three seasons ago), or when you are an important contact for the organisation and operation of Concertgebouw Brugge. You can unsubscribe from this at any time and free of change by contacting privacy@concertgebouw.be.
  • Paper season brochure: Each year Concertgebouw Bruges sends you a paper season brochure, based on your subscription to that brochure, your concert visit (up to three seasons ago) or when you are an important contact for the organisation and operation of Concertgebouw Brugge. You can unsubscribe from this at any time and free of charge by contacting privacy@concertgebouw.be.


7. Data storage

Your personal data are stored in a maximum security data centre managed by the provider of our ticketing/IT/planning/HR system. Under no circumstances can this supplier make use of your personal data.

If you are no longer an active Concertgebouw Brugge customer, or have not given explicit permission to that end, Concertgebouw Brugge will no longer use your data to send you promotional material (newsletters, magazines, brochures). Unless you remove them, or have them removed, from the data base, Concertgebouw Brugge may still sporadically consult and use your data (location, age) for statistical purposes.  Concertgebouw Brugge may also retain certain records in order to comply with its legal obligations. You retain the right to remove your personal data or to have them removed.

Job applicants’ personal data is stored in the Concertgebouw Brugge database until 1 year after the application.

8. Data protection 

Concertgebouw Brugge provides appropriate technical security for all your personal data.  

9. Third party provision

Your personal data may be shared with third parties insofar as this is necessary for the proper execution of the abovementioned purposes.

We employ third parties for:

  • the provision of the Internet environment (web hosting)
  • the provision of IT infrastructure (including the IT network ...)
  • ticketing (more info in point 10)
  • the provision and distribution of newsletters and invitations
  • the management of recruitment and selection

Concertgebouw Brugge guarantees that the necessary agreements with these third parties (processors) are in place to ensure the security of your personal data.

Personal data will not be otherwise shared with third parties unless this is required by law, or unless you have given your explicit consent to such sharing. You have the right to withdraw this consent at any time, without prejudice to the legality of the processing.

 

11. Dans in Brugge

Dans in Brugge is a collaboration between Concertgebouw vzw, Cultuurcentrum Brugge (part of the City of Bruges) and KAAP vzw for the joint communication and promotion of their own dance performances and dance productions in Bruges.

When you order tickets for a dance performance or subscribe to a relevant newsletter, the personal data you provide may be included in the data files of which the three organizations of 'Dans in Brugge' and 'Brugge Plus' (In&Uit Brugge) are holders and processors. The data are only exchanged among them for relevant communication and promotion of the activities within 'Dans in Brugge'. This is done in accordance with the General Data Protection Regulation, which applies on 25 May 2018.

You retain the right to lodge a complaint with the supervisory authority.

13. Changes to privacy policy

Concertgebouw Brugge reserves the right to change this privacy statement. Any such changes will be communicated via the Concertgebouw homepage www.concertgebouw.be, with a link to the updated version. At the bottom of this page you will always find the version number and date. Changes take effect automatically after publication.
